Tracking is a major function of the BookPal operations process. 


Depending on which publisher the titles are coming from, some orders will "Dropship", which means they deliver directly from the publisher to the customer. Some publishers will not "Dropship" in which case the orders will deliver to a warehouse (currently BookPal's office) to then be shipped to the customer. We need to take into consideration the extra time it will take for orders that transfer, especially if orders have a need by date.

Here are a few Salesforce views for tracking that you will use in order on a daily basis (in order of importance):

1. All RUSH Tracking 


This view shows all orders that we have not yet received tracking for. This view shows all rush orders that we need to keep a close eye on by obtaining tracking and making sure the order delivers by the need by date. You will follow up with the publisher if no confirmation is entered to ensure the publisher has the order in their system, and obtain tracking to enter in our system and send to the customer.

2. BP Warehouse

 

Your second view will be the "BP Warehouse" view. This view shows tracking for orders that are coming to BookPal and will need to be shipped to the customer. Here you will check the tracking numbers to see how many shipments are delivering the following day by plugging the tracking numbers into the UPS website and obtaining the delivery date. Once you have figured out how many orders are coming in the next day, send a message to Zarna and let her know how many shipments are arriving.


In SalesForce, go to BP Warehouse, then click on the PO Line Number.

Under the tracking section, you can copy and paste the tracking number into UPS, obtain the expected delivery date, and update it in SalesForce.

3.  All Tracking


Next, you will work on the "All Tracking" view. This view will show ALL orders we have not entered tracking for yet (this includes rush orders you have already looked at). 


NOTE: For non-rush orders, if you have not received tracking within 48 hours of order confirmation, you need to confirm with the publisher that the order was received.

4. Delivery Pending

Next, you will work on the "Delivery Pending" view. This view shows orders that have shipped from BP, tracking was already entered at the time of shipment, but exception notifications have not yet been set up on the UPS site. Here you will go through each order, copy paste each tracking number into UPS site, and set up an exception notification. After you set up the notification, change the status in SF to Complete.
